VOK Trading Limited

Privacy Policy

Last updated 2 September 2026

This policy explains how VOK Trading Limited handles personal data collected through this website and through business correspondence. It applies to vok-trade.com and to the enquiry form published on it.

Data controller

VOK Trading Limited, a company registered in Hong Kong SAR (CR No. 2358313, BR No. 65973759), registered office Suite 1404, Tung Wai Commercial Building, 109–111 Gloucester Road, Wan Chai, Hong Kong, is the controller of the personal data described below.

Data we collect

We collect the data you submit to us. Through the enquiry form this is company name, contact person, email address, country, product of interest, quantity, destination port, delivery terms and the text of your message. Through correspondence and contract work we also process the business contact and company details you send us.

Our hosting provider records standard server log data, including IP address, browser type and pages requested. We do not use advertising or profiling tools on this website.

How we use it

We use the data to answer your enquiry, prepare and issue quotations, negotiate and perform contracts of sale and purchase, arrange shipment and issue shipping documents, meet our legal, tax, customs and accounting obligations, and carry out counterparty due diligence and sanctions screening where this is required of us. We do not use it for any other purpose without telling you first.

Disclosure

In the course of a transaction we disclose the data necessary to complete it to suppliers, freight forwarders and carriers, inspection companies, insurers, banks and payment providers, customs authorities and our professional advisers. We disclose data to public authorities where we are required to do so by law. We do not sell personal data and we do not share it for marketing purposes.

Transfers

Our counterparties are located in Asia, Europe and the Middle East, so data related to a shipment is transferred outside Hong Kong where the transaction requires it. We transfer only the data needed for that shipment.

Retention

Enquiries that do not lead to a transaction are kept for up to two years. Records of concluded transactions, including contracts, invoices and shipping documents, are kept for at least seven years to meet accounting, tax and customs requirements, and longer where a legal claim or an audit requires it.

Cookies

This website uses only the cookies required for it to function. It does not use analytics, advertising or third-party tracking cookies. You can block or delete cookies in your browser settings without losing access to the content of the site.

Security

The site is served over HTTPS. Access to correspondence and transaction records is limited to the people who need it to do the work. No transmission over the internet can be guaranteed to be completely secure, and we ask you not to send us documents you consider confidential without agreeing the channel first.

Your rights

Under the Personal Data (Privacy) Ordinance of Hong Kong you may ask whether we hold personal data about you, request a copy of it, and request correction of data that is inaccurate. Where the General Data Protection Regulation applies to our processing, you may also request erasure or restriction of processing and object to processing. Write to info@vok-trade.com and we will answer within the statutory period.

Changes

We update this policy when our processing changes. The date of the current version is shown at the top of this page.
